Terms & Conditions
These terms explain the academic, financial, safeguarding and operational basis on which NHS Online School provides its services.
Effective: 8 October 2026
1. Scope
These Terms & Conditions apply to NHS Online School websites, admissions, Cambridge programmes, tutorials, private tuition, learner and parent portals, E-Library, live classes, reports, activities and related services. Programme-specific information shown in a written offer, invoice or enrolment confirmation forms part of the agreement.
2. Parent, guardian and learner responsibility
Where the learner is a minor, a parent or lawful guardian is responsible for enrolment, payment, permissions, accurate information, technology access and reasonable supervision. Login credentials must not be shared outside the authorised user.
3. Cambridge programmes
Cambridge tuition is organised around the learner’s target examination series. NHS may adjust teaching groups, timetables, teacher assignments and internal academic sequencing where reasonably necessary, while preserving the essential programme standard and published class-size commitment.
IGCSE learners may select up to six subjects and no more than two subjects from a single subject group. AS/A Level learners may select up to four subjects, subject to timetable compatibility and the academic suitability of the chosen combination.
4. NHS quality assurance commitment
NHS commits to the service standards within its control, including approved teaching staff, the published Cambridge class-size cap, academic planning, progress tracking, parent reporting and access to the agreed learning platform. Where NHS cancels paid teaching and does not provide the agreed service, the affected lesson or service will be rescheduled, replaced or appropriately credited.
This quality commitment is not a guarantee of a particular examination grade, school admission, university admission or other outcome that depends on learner performance or a third party.
5. School transition and transfer support
NHS may support learners who are relocating, waiting for a school place, changing schools or moving between academic calendars. We can provide attendance information, teacher reports, assessment history, syllabus coverage and other academic records reasonably available in the learner’s Learning Passport.
NHS does not guarantee that a receiving school will admit the learner, place them in a particular year group, accept all subjects, award credit or recognise the NHS programme in a particular way. Those decisions remain with the receiving institution.
6. Cambridge final examinations and British Council route
NHS provides preparation and exam-entry guidance for Cambridge IGCSE, AS and A Level. Depending on candidate status, subject requirements and current arrangements, final examinations may be taken through British Council Kenya or another approved examination centre. NHS may support families with registration timelines, subject codes, required documents and exam-readiness information.
Unless explicitly included in a written offer, external exam-board, British Council, KNEC, practical-component, venue and examination-centre fees are separate from NHS tuition. External registration remains subject to the rules, deadlines, subject availability and policies of the relevant examination body or centre.
7. Fees and payments
Current tuition is published on the relevant programme and Fees pages and confirmed on the learner’s invoice. Enrolment may remain pending until the required payment or agreed instalment is received. Private tuition is billed by the hour according to the selected delivery mode and agreed schedule.
Any programme-specific cancellation, transfer, credit or refund terms communicated at enrolment apply together with these Terms. Amounts relating to services already delivered or third-party costs already incurred may not be recoverable.
8. Sports, community programmes and trips
NHS may organise optional games, sports, community-service activities, educational visits, social days and parent–teacher–student trips, directly or with selected third-party providers. Specific partners, venues, dates, transport arrangements, supervision arrangements and charges are confirmed for each activity rather than assumed to be permanent.
Participation may require separate parental consent, health or emergency information, waivers and additional fees. Third-party venue or provider rules may also apply. Families remain responsible for disclosing relevant information that may affect safe participation.
9. Attendance, lateness and missed lessons
Learners are expected to attend live classes on time and complete required work. Attendance may form part of reports and awards. Viewing a recording does not automatically count as live attendance.
For private tuition, cancellations and rescheduling should be requested as early as reasonably possible. Repeated late cancellation or non-attendance may result in the booked lesson being charged.
10. Technology and online access
Online learners are responsible for suitable equipment, electricity and connectivity. Where a programme publishes minimum requirements, families should confirm them before enrolment. NHS is not responsible for interruptions caused by the learner’s device, local internet provider, power supply or unsupported software.
11. Learning platform and communication
The NHS platform is for academic and school-related use. Users must not access another user’s account, bypass permissions, upload harmful material or use communication tools to harass, exploit or intimidate another person. Student-to-student direct messaging may be restricted or disabled. NHS may review communications where reasonably necessary for safeguarding, support, investigation or system administration.
12. Recordings, materials and intellectual property
Lessons may be recorded for approved educational, quality or safeguarding purposes. Recordings must not be copied, reposted or distributed without authorisation. NHS-created notes, reports, recordings, graphics and course materials remain protected intellectual property. Third-party E-Library materials remain subject to the rights and licence terms of their owners.
13. Learner conduct and safeguarding
Learners must treat teachers, staff, partner providers and other learners respectfully. Bullying, discriminatory abuse, sexual misconduct, threats, cheating, impersonation or unauthorised recording/sharing may result in restrictions, suspension or removal from a programme. The Child Protection Policy applies to all interactions involving minors.
14. Academic outcomes
NHS provides teaching, academic support, progress tracking and examination preparation. Results also depend on attendance, prior attainment, independent study, assessment performance and examination conditions. NHS cannot guarantee a specific grade or external placement outcome.
15. Suspension or termination
NHS may restrict or terminate access for serious non-payment, misuse of the platform, safeguarding concerns, persistent misconduct, fraud or material breach of these terms. Where appropriate, NHS will communicate the reason and next steps to the parent/guardian or account holder.
16. Changes and governing framework
NHS may update programmes, partnerships, platform features or these terms as the school evolves. Material changes affecting an active enrolment will be communicated appropriately. These terms are intended to operate within applicable Kenyan law. Questions may be sent to info@homeschool.co.ke.
